Part I: Client Confidentiality
International Language Services’ IS0 9001:2015-certified quality control policy includes detailed policies designed to protect the confidentiality of every translation project. We follow these policies diligently because we recognize the importance of safeguarding your company’s proprietary information. We are also happy to implement any additional security measures you require. When you entrust your documents to ILS, you can rest assured that they are in secure hands.
Since documents prepared for translation may contain proprietary information that must be safeguarded against release or distribution to unauthorized parties, protecting the confidentiality of your information and ensuring the security of the documents you submit for translation are critical issues for both you and ILS. We take our commitment to client confidentiality and security very seriously.
Everyone with access to your information is bound by ILS’ strict non-disclosure requirements. Your company may also present us with whatever additional confidentiality agreements are required by your firm prior to sharing proprietary data. Everyone at ILS, from our project managers and staff to our team of translators, recognizes the importance of safeguarding your company’s information.
To further protect your information, we offer the following additional safeguards:
- Secure Firewall Protection – Our IT staff monitors our network firewall protection constantly and maintains it vigilantly to prevent outside intrusion into our system.
- Secure FTP File Transfers – We use the latest secure FTP protocols to protect all transfers of data between our clients and ILS.
- Daily Backups and Secure Off-Site Storage – Our data backup process is both secure and scheduled on a daily basis to prevent loss of data and disruption of projects.
- Document Encryption to Your Specifications – As needed, we will provide state-of-the-art encryption for your material, working with your IT personnel to meet your requirements.
- Compartmentalized Document Handling – Only staff and personnel specifically needed for your project will have access to your information. ILS operates on a need-to-know basis for all projects.
- Secure Shredding of Discarded Documents – Our regular shredding service prevents unauthorized access to any documents that are no longer needed.

How do we protect information we collect?
We offer secure web pages to collect certain kinds of user information, and we store certain kinds of data in encrypted form. We follow reasonable technical and management practices to help protect the confidentiality, security and integrity of data stored on our system. While no computer system is completely secure, we believe the measures implemented by our Site reduce the likelihood of security problems to a level appropriate to the type of data involved.
How long do we keep user information?
We generally keep user data on our server or in our archives for as long as we reasonably need it. We may alter this practice according to changing requirements. For example, we may delete some data if needed to free up storage space. We may keep other data for longer periods if the law requires it.
Data management requests are administered in an orderly manner to the extent feasible and within our direct control. Note: We have greater control over recently collected data than over archived data. Once data is removed from the system and archived, it may not be feasible to accommodate specific requests. In those cases, our general data retention policy applies.
Your consent to this policy.
By using our Site, you agree to this Policy. This is our entire and exclusive Privacy Policy and it supersedes any earlier version. We may change it by posting a new version on our Site.
